As a coworking space operator, you’d rather have someone become a member than buy a day pass. But, from the perspective of a potential member, a day pass is an easy way to retain flexibility and test drive a space before deciding on the right one.

That’s a good thing. When someone works in your space for a day, you have an opportunity to impress them, showcase your space and community, and move them further down your sales funnel toward potentially becoming a member.

Coworking Day Passes are one of the most powerful lead generation tools you have. Yes, they can generate some revenue, but if you’re thinking of day passes primarily as a revenue stream, you’re missing out on their most valuable aspect.

I spoke with CloudVO CEO, Laurent Dhollande, and NextSpace Coworking Santa Cruz Senior Community Manager, Maya Delano, about using day passes to attract leads and drive membership. Here are the key takeaways and best tips from our conversation.

Make it Easy to Purchase a Day Pass.

Don’t overcharge for day passes because you’re not doing it to make money—you’re using it as lead generation. You want people to come back.

Leverage Channels

Leverage channel partners, such as CloudVO, to sell day passes. This way, you make it easy for people to purchase a day pass online, you expose people to your brand, and you can attract people from outside of the area. Once someone has purchased a pass, they’re already invested in your space.

Sell Monthly Day Pass Subscriptions

Selling a single day pass is fine, but then you only see the person once, and maybe for only a few hours. A day pass subscription that renews each month is a better way to bring people into the space and community. The day pass holder gets more interaction with the community and sees that the vibe in the space can be different depending on the day and time. They can attend different events and experience the natural ebb and flow of energy in the space.

As mentioned above, a membership subscription is more valuable to both the space operator and the customer than one-off day passes. They get a better value and the space gets recurring income. Once someone is a subscriber, you can move them to full membership when the time is right because they’re already in the space and a member of the community.

Price Day Pass Subscriptions Aggressively

Make subscription plans as enticing as possible, whether it’s for day passes or meeting room hours. Subscribers may not use as many days or hours as they think they might each month, so you can sell more hours or space than you have. Dhollande compares it to a gym membership. Everyone doesn’t show up at the same time and, while some members go regularly, others retain membership so they can use it when they want or need to.

Strategically Give Away Day Passes

Complimentary day passes can be strategically given to people and groups in your target market. This includes freelancers, remote workers, independent professionals, and startups. The idea is to invite people to come in and get a sense of the space, let them experience coworking then, ideally, convert them into a membership package or other products, such as meeting room time or day office rental.

“I don’t give day passes to just anybody,” says Delano. “If someone comes in and didn’t have enough time for a tour, or if I feel like they’d be a really good fit for the space, I give them an incentive to come back.”

Delano, who estimates that she converts 60 percent of day pass users into members, explains that she physically puts a day pass in their hand. “That way,” she says, “it’s an experience versus just clicking something online.”

Make it Easy for Members to Purchase Day Passes

When members of your space bring in guests, and if they stay for longer than a meeting, they should purchase a day pass. Make it easy for your members to inexpensively secure guest day passes for visitors.

Invite Day Pass Users to Events

Events in your space can also be powerful lead generators and member magnets. This is a great way to introduce leads to the community and culture of your space. Events also give leads an opportunity to ask more questions about the space and offerings.

“Once a day passer is here,” says Delano, “it’s my job to make sure they’re meeting people throughout the day, they’re getting on the internet, they’re seeing what coworking is, and they’re getting introduced to the community as soon as possible.”

Delano adds that she wants day pass users to see that the NextSpace community is something special, which encourages potential members to join. “By the end of the day,” she says, “if someone really wants to work here, they’re going to sign up.”

Track Day Pass Users

Make sure you have a way of tracking day pass users so you can more easily convert them to a subscription package or full membership. If a day passer comes in frequently, let them know about membership options that make better financial sense than just purchasing one-off day passes.

“By tracking day pass users, I can offer them a membership that’s a better fit for them,” says Delano. It allows me to see who could potentially go to the next membership level and maybe save a little money.”

Use Day Passes for Donations

Day passes make good donations for local organizations and events. They introduce people to the space and brand without a lot of extra work for the workspace team.

“It’s promotion and a lot less to onboard,” says Delano. “The day pass is low impact on me and high impact out in the world.”

The longer answer is that it depends on what your needs are, what your goals are, your local market and how much value the channel partner can bring to your workspace.

What is a Channel Partner for a Coworking Space?

Channels are service providers with online capabilities to resell your workspace memberships. Some channel providers are marketplaces, where your space or services are sold to end-users online. The marketplace provider takes care of the transaction and pays you an agreed upon discounted price. An example of a comprehensive marketplace is Liquidspace, with a mission to list all kinds of workspaces.

“Value added resellers,” also invoice the end-users and pay you an agreed upon wholesale rate but augment your local service with a service of their own, such as corporate account services, concierge services, touchdown access to a nationwide or international network, or phone answering services. They tend to be more discriminatory than generic marketplaces, to give their end-users a pre-selection of workspaces and services with a consistent experience. Example of value-added resellers include CloudVO and DaVinci.

Pros of Using Channel Partners for Your Coworking Space

1.  Online marketing: Channel partners can provide value due to their focus on online marketing. By working with channel partners, you reap the benefits of their online reach and marketing efforts.

2.   Expand market reach: Using channels expands your market reach, and often funnels people from outside of the area better than a local space operator may be able to do.

3.   Establish a local presence: If a particular channel is going to be active in your area, you might as well list with them. Otherwise, they will drive leads to your competition.

4.   Effective lead generation: Day passes are often well marketed by channel partners and can work as great lead generators for membership in your coworking space.

Cons of Using Channel Partners for Your Coworking Space

1.  You pay a commission: Web brokerage firms and other simple lead generation channels typically receive a 10% commission on a full time membership. This is not expensive, really, so it’s a minor con. Note: If the commission of the channel partner is less than 10%, don’t even bother with it as it might be a waste of time. No channel can make money on a commission less than 10%.

2.  You give a discount: Marketplaces and Value Added Resellers will take care of collection and often embed your space offering in a much broader service offering. For that, they typically request a discounted price (wholesale price) of 25% to 35% off your published retail price. It is definitely worth it if they bring you business you would have been unlikely to access otherwise, and you should set your published retail price in such manner that can accommodate that discount.

3.  Day pass use doesn’t generate much initial revenue: Some channel partners will keep 50% or more of a day pass revenue. Don’t worry about this. The value of using channel partners for day passes is lead generation.

4.  You may be the one bringing value: Your location is a very valuable asset. Listing with a non-established channel startup will bring them more value (in terms of expanding their network) than it will bring you. You may find that it brings you no, or very few, leads. Given the myriad of startups in the channel business, limit your listings to a few well-recognized names.

5.  You may drive up cost per click marketing: Listing with a channel partner may encourage them to advertise in your local market. That, in turn, may raise the cost per click and create competition to your own search engine marketing (SEM) efforts. Focus more on channels that are more likely to bring people from outside of your area, unless you don’t intend to have a pay-per-click presence on Google.

A Coworking Safari

On July 9, 2014, we asked 27 CloudVO associates to spend their entire day in a coworking place and to share their experience on Yammer real time. This article presents a summary of some of the raw observations made by our group on that coworking safari day, without interpretation or judgment.

Methodology

The safari was designed to increase our organization’s knowledge of the coworking landscape. Fifty six percent (56%) of the participants had never coworked previously. The rule was for all participants to check in a location that promotes itself online as “coworking,” pay for a day pass, and share his or her experience and observations throughout the day via a moderated discussion forum on Yammer. Most of the discussions were structured – the moderator sent questions to the group throughout the day every ½ hour or so – but the participants also engaged in impromptu and highly interactive online conversations throughout the day. All data reported in this article was strictly based on those field observations.

Locations

The group checked-in 26 different coworking places in California and Nevada:

  • In 17 different cities
  • 16 locations were in the San Francisco Bay Area
  • 5 were in the Sacramento area
  • 4 were in other California areas (including LA & San Diego areas)
  • 1 location was in Reno, Nevada.

For the most part, participants picked locations close to their home or place of work. Since the majority were CloudVO employees, it is no surprise that the observations were skewed to Northern California, where the company main offices are located.

The vast majority of the operations visited by our group were dedicated coworking operations, with names like Hacker Dojo, NextSpace, The Port, The Hub, SandBox, Comerge, Enerspace, Urban Hive, San Leandro Coworking, Reno Collective, SpherePad, Hacker Lab, LapTop Lounge, ThinkHouse, Sillicon Valley Pad, Get Smartworkplaces, Sattelite, Comerge. One operation was a coworking place specifically designed for legal professionals (Thirty33 Legal Suites). Two locations advertised themselves as coworking places but were effectively touchdown space for professionals (e.g. MediaPod, with Courtyard by Marriott). The majority of the operations were for-profit operations, focused solely on coworking, but at least one was a non-profit operation, managed by and for its members.

Capacity & Usage

Half of the coworking places were small, with less than 40 coworking seat capacity, but 30% had more than 80 open coworking seats. Close to 40% of the locations offered private offices (ranging from 5 to 20 private offices). Most had collaborative space. Two-thirds provided private or semi-private conference rooms, ranging from 1 to 6 meeting rooms per location.

Demographics

Whereas the majority of the coworkers on our safari day seemed to fall in the 31 to 39 years old age group, all ages were represented, including Millenials, Gen Y, Gen X, and Boomers.

Pricing

Day Pass prices ranged from $10 to $75, with $25 as the median rate. A few locations offered free passes to “test drive” the coworking places. These free pass opportunities were not factored into our statistics.

The median monthly membership, with unlimited access was $295, also with a wide range from $79 to $475 per month. Many operators offer ten-day or five-day access at reduced prices. Dedicated desks, where users often leave their monitor, ranged from $300 to $550 with a median rate at $433/month.

While a few of the smaller locations seemed to have spotty internet connections, most provided decent but not exceptional Internet connectivity. More surprisingly, only half of the locations seemed to provide some form of network printing. When available, printing was often free of charge.

Whereas community events are said to be the critical fabric of their place by most coworking operators, our observers could find events prominently posted in only 58% of the locations.

What really struck our safari participants is that the coworking locations were places to get work done. The image of informality some coworking places promote, with folks lounging on a couch with a beer on hand and a laptop on the knees, were no where to be seen. What the group observed instead were studious, library-style, work environments, where folks are by and large respectful of each other’s space and sound privacy. For example, most folks while making cell phone calls are careful not to do this in a way that disturbs other coworkers.

Coffee and beverage were very simple for the most part –no luxury!- but seemed to achieve their purpose.

Is it a Strategic Mistake for Business Centers to provide a Coworking Offering?

I am tempted to say: Yes, be careful!

Coworking CrossroadsThis answer may surprise many of you. I have been an enthusiastic observer of coworking ever since ‘The Work Club’ started in Emeryville, CA, in 2004. I believe that all players in the Workspace-as-a-Service arena will eventually converge to offer a menu of choices ranging from private offices and professional meeting rooms to coworking options, all under the same roof. Walking the walk, as CEO of Pacific Business Centers, I drove our own experimentation with coworking 3 years ago.
