3 Things You Didn’t Know About Virtual Office Space in Miami

Are you looking to establish a professional image for your business, but not sure how to get that corporate feel without spending a fortune? Virtual offices have become immensely popular for small businesses, corporations, large companies, entrepreneurs and professionals.

In today’s global economy, it is vital that you set up your business in a premier location. CloudVO is a reputable reseller of virtual office solutions in Miami.

miami-skyline-1233969For most start-ups, purchasing an office building or acquiring an expensive rental office can take away needed funds to run the core of the business or project. Yet, appearance matters when you’re running a new business.

Rather than renting office space, hiring a reception staff, purchasing office equipment, phone and fax systems, and furniture, a virtual office is simply a ready-made business office.

Virtual office spaces provide an affordable and excellent option for even the smallest budgets to run a business like a major corporation. Here are a few things you might not have thought about when considering a virtual office option.

First: Impressions Matter

A great virtual office in Miami provides you with a prestigious business address, optional lobby directory listings, mail forwarding services, access to fully-equipped meeting spaces and conference facilities, state of the art technology and a wide variety of cutting-edge business support services.

And a professional business address sends a message that you are serious about your business.

Second: Outstanding Technology Services

Get access to high-speed Internet, video conferencing presentation tools such as LCD projectors, smart boards, plasma screens and many other amenities and services to make your meeting convenient and successful.

Virtual Office Spaces in Miami have an on-site professional receptionist to greet your guests, receive drop-offs, take messages, and provide support to you when you’re on-site. Other amenities are also available to enhance the office experience.

Third: No Long-Term Commitments

You can rent meeting rooms or workspace by the hour or by the day. There’s no office lease, no hardware, no utility payments and none of the costs that are associated with having a brick-and-mortar office space. Those savings can be passed along to clients and impact your profit margin.

OfficeSpaceMiamiAs you can see a virtual office offers the best alternative for a business owner or entrepreneur to avoid spending a lot of money in office expenses while establishing a professional image for their business.

A virtual office space or business center in Miami offers all the advantages of an office address and office communications and amenities without requiring you to set up an actual office space. It has everything you would expect from a leader in modern business address and office solutions. Everything, that is, except the big price tag.

Building your Business Online: Some Useful Tips on Setting Up an Effective Virtual Office Space

No matter if you are located in New York City or Miami, building your first virtual office or home-based business can be challenging. There are several factors to think about and a few challenges to face once you start setting up your virtual office space. However, these challenges shouldn’t hinder you from running your business smoothly. If you are on the stage of setting up your virtual office space, then the following tips can help you out.

1. Work with a virtual receptionist.

Most businesses depend on the telephone to contact people, and for people to contact them. Setting up a business phone number, and then hiring a virtual office receptionist to handle it, can help you jumpstart your home-based business. With a reliable virtual receptionist, you have a hundred percent assurance that all calls from your valued customers are answered.

telephone

Your virtual receptionist will also work in handling orders, taking important messages and relaying them to you, answering queries from customers and scheduling appointments. All these can help guarantee smooth business operations.

Not only does having a virtual receptionist have a friendly and professional appeal, it allows you to focus on your business. Trained to work as an extension of your staff, CloudAnswering does the filtering of sales calls, gathering the basic information & relaying the important information over to you wherever you are. This seamless service enables you to prioritize calls, and allow you to choose to accept the call or have transferred to your personalized voicemail.

2. Develop a professional image.

Even if you are just working from home, it is still crucial to showcase a professional image not only to your clients, but also to your team. This is necessary, even if you just intend to work on your pajamas. Having a virtual receptionist handle your calls can go a long way to putting forth a
professional image. Ensure that you dress appropriately during important meetings with clients. Dressing professionally is essential,
especially if you are meeting with the client personally or on Skype. This
will let you show an image of authority and professionalism, making it easier to earn their trust.

3. Get a Prestigious Business Address

skyline-buildings-new-york-skyscrapersAnother way to develop a professional image, and create trust from your clients is to have a prestigious business address. A great advantage to having a virtual office is you can work from wherever you are. However, that doesn’t necessarily mean you have to be located where your address is. There are laws and taxes to keep in mind based on what state you are “located” in, but really you can be located wherever you would like. Set up your office in the New York/Manhattan area, Miami, or Chicago. The location of your business can give your clients the feel that you are professional, experienced, and ready to handle their needs.

4. Keep your communication lines open.

Your employees/team members should feel comfortable when asking questions or communicating with you. Reassure them that there is no such thing as a stupid question. Make them feel like they can raise their concerns anytime without fear of getting judged. Some ways to communicate with your team are Skype, Google apps such as Google Hangout, and e-mail.

5. Rent/outsource some services.

With the increase of interest in virtual offices, workspace providers are sharing their services to other interested operators. Check out their offers and determine which among these providers can meet your specific requirements. Some of those who are into virtual office space rental also offer additional services like live telephone answering and forwarding, a business address in New YorkMiami, Chicago or more, based on where you would like your business to be, listing of email addresses, and building directories. Before starting your search, create a list of all the services that you need. This way, you can easily determine, which among the virtual office space providers can meet your specific requirements.

6. Take advantage of the intranet.

Since you won’t be working with your team in just one location, you have to look for a way to communicate with them efficiently. This is where intranet can help. Once you set it up, connecting with your virtual team and sharing information will be a lot easier.

Virtual vs. Traditional Office: What’s the Difference?

These days, a lot of entrepreneurs are using technology to their advantage by launching virtual office space. If you want to start a business, but you don’t have a large capital, a virtual office provides many resources that could be used to your advantage. Some of these advantages include spending less on furniture, office equipment, or office space, working flexible hours, and much more. It also allows you both to hire staff from different parts of the world giving you access to the best talent in your desired field, and decide where you want your business located be that Orlando, Denver, or Washington DC.city-road-street-buildings

However, it doesn’t mean that a traditional brick and mortar office is a bad choice if you are starting a business either. Yes, it’s a little expensive compared to a virtual workstation, but there are other advantages like getting to interact with your customers and employees face to face, which can be a bit difficult when all interaction is on the phone, emails, or over Skype.

To find the perfect setup for your business, you need to have a solid understanding of each option. This article explores some of the main differences between a traditional office, and virtual office space.

1. Location

A traditional office space has a main, physical address, whereas a virtual office can’t be found in a specific location. In a traditional office setup, employees need to commute and report to work depending on their schedule. When their shift is over, they pack up their things and head home.

Virtual offices however are more independent and flexible. This allows you to work when you want to work, and cut out the travel time that comes with commutes. It does make it harder for overseeing employees, meeting with clients in person, and having a physical address for mail, appearance, and SEO directory listings.

However, with one of CloudVO’s Virtual Office Plans, you can have a main address in many places around the world, such as Orlando, Denver, or Washington DC, without having to be there all the time. In a virtual setting, your home can also be your office. Work is done and delivered online, so you can work anywhere you want, as long as you have stable internet connection. Then, when you do have a meeting with a client, CloudVO also offers you access to meeting rooms, either by the hour or through allotted hours per month, built into some VO plans or available as an add-on feature.

pexels-photo (3)2. Work Hours

Usually, a brick and mortar office follows a 9-hour work schedule. In some instances, employees have two 15-minute breaks and 1-hour lunch break. There are times clients expect you to be in the office, which dictates when your office needs to be open.

On the other hand. a virtual office does not necessarily follow a rigid work schedule. Cloud VO can offer Live Telephone answering, which helps with client expectations, and virtual employees can complete their work can be more project based. This tends to create more responsibility for the projects each employee is working on.

3. Team collaboration

Although completely possible online, this is where a brick and mortar office shines best. Managers understand how important it is to make face to face interactions with their staff. It allows them to build stronger relationships and they can easily brainstorm solutions. However, with advances in technology and access to resources like video conferencing and such, a virtual workstation is effective in communicating with staff from halfway across the globe.

Final Thoughts

Whether you are located in Orlando, Denver, or Washington DC, a traditional office is great for entrepreneurs who want to build customer trust and better relationships with staff. However, if you want to save on operational expenses, are running a business that doesn’t require constant interaction, or like the option to work from wherever you are, opting for a virtual workstation could be a perfect solution for you. Which of the two office settings work best for your business? Share your thoughts in the comments!

The Advantages of Using Virtual Office Space

With the advancements in the field of technology and communication, it seems that virtual office space is starting to become the norm.

entrepreneur-593371_640If your business follows flexible work hours, or you are outsourcing employees from halfway across the world, a digital office gives people the opportunity to conveniently work wherever and whenever.

Sadly, some people are still skeptical about this idea. Most of them think that the tools they need are expensive, or having much freedom at work becomes a hindrance to productivity.

To set the record straight and clarify some issues, this article will list down some of the key benefits of using an online office space.

1. Say goodbye to commuting problems

Don’t you just hate it when your staff is always late due to heavy traffic? If you let him work as a virtual assistant, you can be sure that he can report to work on time. Even if you are the boss of your own company, you understand how difficult it is to drive or commute to work. With a virtual office, you can increase your productivity and become more focused at work.

2. Employees will become more physically active

According to a research from the University of Sydney’s Department of Public Health, sitting at your chair for more than 11 hours every day will increase your chances of dying in the next three years. If you give your staff a flexible work schedule, it will be easier for them to find time for rest and physical exercise.

hands-woman-legs-laptop3. You access a wider pool of talent

As your business expands internationally, it is ideal that you outsource staff from the local community. Since they are already knowledgeable about their own fellowmen, it will be easier for them to build good relationships with customers. Sometimes, maintaining offshore staff also costs less as compared to hiring local talent.

4. You can reduce your overhead costs

Building a virtual workstation means that you do not have to spend so much money on office lease, utility bills, or other expensive costs gained from maintaining a brick-and-mortar office.

Of course, you need to invest in software and a little bit of hardware, but they are not that expensive. This will allow you to invest in and focus more on hiring talented employees.

The Wrap-Up

A virtual workstation is effective if you are managing a small business or if you are expanding abroad. Compared to a traditional office space, virtual office solutions do not require you to spend a lot on furniture or hardware, and services such as live phone answering or hourly meeting rooms can save you money. Your employees will also benefit from this setup because they don’t need to commute and their schedule will be flexible.

The State of the Workspace-as-a-Service Industry by Scott Chambers, GWA President-elect.

Download Scott Chambers' WANY Presentation
Download Scott’s presentation, The State of the Workspace-as-a-Service Industry

Scott Chambers, COO of Pacific Workplaces and President-elect of the Global Workspace Association, recently shared his vision for embracing new elements of our industry, and gave us his view on the amazing reshaping and vitality of our industry at the Workspace Association New York (WANY) Annual Conference on June 13, 2014.

Scott inscribed the Workspace-as-a-Service industry squarely as a central part of the Sharing Economy, not unlike companies such as Uber, AirBnB, Chegg, or Dropbox. What these companies have in common with providers of Office Business Centers, coworking places, incubator space, and other forms of on-demand workplaces, is a similar value proposition of making an expensive, managed infrastructure available on a pay-per-need basis, sharing idle resources, and eliminating waste; with community-building as a critical enabler of the “sharing” process.

Scott Chambers Speaking at WANY

Scott articulated a compelling case to also place our industry as the core foundation for workplace mobility, along with the explosion of mobile tools, which Keith Warner, another speaker at the conference brilliantly developed with his Bring-Your-Own-Workplace discussion in the same meeting.

Sharing EconomyData extrapolated from multiple sources, including the GWA 2013 Industry Survey, Regus’ Annual Report, CloudVO, and Emergent Research, shows that our industry is headed down an exceptional course in welcoming this Sharing Economy. Scott revealed that the Shared Office Space segment of our industry worldwide in 2013 was over 14,000 locations strong, generated $10.9 billion in revenue, paid nearly $5 billion in rent, employed over 40,000 people, and hosted approximately 35 million meeting hours!

Scott’s next stop for a more in-depth discussion on the subject, with more exciting news is the Global Workspace Association’s 28th Annual Education Conference in Boca Raton, Florida, September 10-13, 2014. How the CloudTouchdown ™ Trifold Saved the Day!

Everyone likes hearing feedback! It’s the way we learn, grow, and how our business evolves. Good or bad, it helps you to discover what works, what doesn’t, and how things can be improved. Here at CloudVO ™ we recently heard back from one of our partners, who called to thank us for the CloudTouchdown ™ brochure. This Partner shared that they were in a head to head competition with Regus for a client and felt they were pushing ahead when the client shared that with Regus’ BusinessWorld card they would be able to hold regular required meetings in 4 different U.S. cities. Aha! – this partner let us know that by referencing the CloudTouchdown ™ trifold, they were able to quickly confirm the availability of each of the required cities and the deal was done…a landed client. That is money in your pocket!

See details below:

  • Prospect inquired with our partner and also at the Regus center across the street.
  • Proposals were quite similar in offerings, as far as office size and rates. However, the prospect mentioned that Regus had a program called the BusinessWorld Card, from which he would actually benefit quiet a bit. He has regular meetings in 4 cities across the United States. This offering was a necessity for his business, and may have been the deciding factor, forcing him to choose Regus.
  • Queue the partner’s customized CloudTouchdown ™ Trifold! They explained they have a program comparable to the Regus Businessworld card. While checking out the brochure, the client was easily able to see that he would also be able to book his meetings in the cities he needed, if he chose our partner’s location.
  • With this added benefit, the partner was able to close the deal and sign the prospect on the spot!

Of course this is the best kind of feedback, and we were happy the partner relayed this helpful information back to us at CloudVO ™! Extending your network through CloudTouchdown ™, you never know when that option might be a tipping point for a prospect choosing your location over another. Always remember to use this powerful tool when touring prospective clients or inquiring individuals over the phone. This was a lovely story of success and how CloudTouchdown ™ was able to save the day!

Note: We love the praise, but if you have specific suggestions that will help us provide a better service to you, our partners, feel free to share that feedback as well!
